The following is a guide on how to have a successful catering event with Sodexo. Feel free to contact the Sodexo team for any questions before entering an order.

  • full-service catering guide
  • delivery and all items needed for event are included

  • economical catering guide
  • pick-up only
  • food only (paper products are not included)
  • paper products can be ordered in addition

Weekday Catering

  • Enter your order at least 10 business days in advance for events Monday through Friday.
  • All changes to orders need to be entered at least 5 business days before event
  • All changes should go through CaterTrax system. The system will alert us with an email and automatically add to our calendar. (NOTE: please try to keep changes to a minimum as they need to be manually inputted.)
  • When entering an order, have all required information ready:
    • Food items needed (quantities)
    • Event location (building and room number)
    • Times for set-up, start and pick up
    • How many tables/stations are set up for food/ beverage?
    • Single- or double-sided buffet: single-sided buffets are best for smaller groups. One double-sided buffet for every 100 guests (50 serving each side) should take 20 minutes for guests to go through a buffet.
    • Account number to charge
    • Approver’s email: this is the person who signs off on the account only. The approver then needs to approve as soon as possible to not delay the order. The approver will receive an email after the order is placed. Sodexo does not start to process until approved.
    • Do you want these items served with a server present? There is an additional cost for this service.
  • Provide Sodexo with floor plans for event. Include where the food/ beverage tables should be located.
  • Consider ordering extra garbage cans for plates, cups etc.
  • You will need to open the door to the room 30 minutes before drop off time. Sodexo does not have room keys so you will need to contact COD Police to request room to be opened.

Weekend Catering

Sodexo only provides catering for weekend events with prior approval. Scheduling is not guaranteed. To be considered, please contact us no less than 20 days in advance. A minimum of $1,000 must be met and additional staff costs will be incurred. If approval is given, please follow the previous checklist to order. Note: for weekend events, additional time is needed to order product and scheduling staff.

Additional Information

  • Allergies: Sodexo does have a shared kitchen and there is always a chance of cross-contamination.  We provide mostly gluten-friendly items, unless already packaged elsewhere.
  • China, glassware and silverware is additional.


  • All food tables come with white linen. Linen for guest tables is an additional cost and available on the  CaterTrax site.
  • 88" x 88" can be used for most tables. 6 foot rectangle and round (rectangles need 2 cloths to cover legs) are $8.00 each.
  • 52" x 114" – longer thinner cloth are $8.00 each.
  • 120’s -round tables and go down closer to floor are $20.00 each.
  • 130’s high top tables are $22.00 each.
  • Linen in black or maize are an additional cost.
  • Charges above are for the linen-only, Sodexo staff can set-up and pick-up for an additional charge.

Important Notes

  • Do not order from both guides for the same event.
  • Do not place an order on a different day without prior approval from Sodexo.
  • Do not place an order on a different day, after receiving approval, and not including actual date on the order.
  • Do not place the entire order in custom item box when the items are within the guide.

Sodexo Catering Hours

Monday through Thursday, 7 a.m. to 5 p.m. 
Friday, 7 a.m. to 4 p.m.
Weekends: by prior approval
Events after 5 p.m. will incur labor costs.
