Replacement/Disposal Procedure

Overview

Technology-based equipment is moved and discarded on a regular basis at the college. In order to provide a process that will maximize utilization and provide a fair and equitable redistribution process, the following procedure will be used by all college departments/divisions.

Technology-based equipment is defined as any microcomputers, minicomputers, mainframe computers, and all equipment/instrumentation that is interfaced to the enterprise network or any computer type. Examples are computer peripherals, printers, communication equipment, projection systems, document cameras, digital cameras, personnel data assistants, and scanners with a purchase value over $500.

Procedure

  1. All purchases of technology equipment, regardless of funding source, must indicate whether the equipment is an addition or replacement to the existing department/division inventory. If the department/division anticipates using the replacement equipment in another location, then they must provide rationale for this usage.
  2. The above information must be provided to Information Technology as part of the technology equipment review request.
  3. Information Technology will review and allocate all replacement computing equipment for appropriate redistribution and/or disposal.
    • Information Technology will first evaluate technology needs within the department/division requesting the replacement and working with the department administrator will redistribute accordingly.
    • Information Technology will then evaluate technology needs within other departments/divisions. Where reallocation is appropriate, Information Technology will transfer technology equipment to those departments/divisions needing the equipment with appropriate follow-up to the Capital Assets Department.
    • If no reallocation is appropriate, Information Technology will transfer via the Capital Assets/Transfer procedure any equipment that would be suitable for maintenance components in the PC/AV repair area.
    • All remaining systems/parts will be sold or disposed according to Board Policy and Procedure 6420 - Sale or Disposal of College Property. Information Technology will initiate this process.
  4. Information Technology will notify the affected department/division in writing of the redistribution/disposal outcome.
