Introduction

Welcome to VoiceMemo II the voice mail system at College of DuPage. VoiceMemo II will allow you to perform the following functions with your voice mail system.
  • Enter your mailbox
  • Use the first-time tutorial
  • Play a message
  • Make a message
  • Address a message
  • Dial by name
  • Create and modify a distribution list
  • Set user options

What do I do the first time I use voice mail?

If this is your first time using voice mail at the college, you will need to set up your mailbox. See the directions for Accessing User Options to begin the tutorial. You will be asked to enter a temporary passcode. The temporary passcode for the college's voice mail is 1234. The tutorial will guide you through creating a personal greeting for your callers and a personal passcode. Before you begin the tutorial, think of a 4-digit passcode and a personal greeting for your callers.

What features of voice mail will my phone be able to access?

Your multi-line telephone may not have access to all the features of VoiceMemo II. Some of the telephones on campus have been customized to accommodate the duties of the specific areas. Therefore, some of the less-popular features of VoiceMemo II were not set up. If you would like further information on how your multi-line telephone might be customized to better suit the needs of your office, please call the Information Technology Help Desk at 4357.

How long are my messages saved in my mail box?

In order to provide adequate message storage capacity, all voicemail messages over 120 days old are automatically purged from the system. You may refresh the date counter by Giving the message to your own mailbox. (See "Playing a Message")

ENTERING YOUR MAILBOX

  1. Dial 4444 inside the college or dial (630)942-4444 outside of the college.
  2. Press * to enter VoiceMemoII.
  3. Enter your 4 or 5 digit mailbox number.
  4. Press * again.
  5. Enter your passcode.

EXITING YOUR MAILBOX

There are four ways to exit your mailbox.
  1. Press 9 - to exit and hang up.
  2. Press 9 and press 9 again to exit your mailbox and return to the campus operator.
  3. Press 9 and press 0 to exit your mailbox and return to the automated attendant.
  4. Press 0 to return to your default attendant.

DIALING BY NAME

You may use your telephone keypad to spell the name of any user you wish to make or give a message to. Follow these steps to dial by name.
  1. Press 6 - to make a new message.
    ---or---
  2. Press 4 - to give a message to another user.
    ---then---
  3. Press 7 to dial by name. Follow these guidelines to dial your party by name.
    • Use the letters on your telephone keypad to enter the name--last name first, until recognized by VoiceMemo II. This usually requires only the first few letters of the last name.
    • Press 1 for letters Q and Z.
    • Press # or wait when finished.
  4. Make a note of the mailbox number for future reference.

PLAYING A MESSAGE

  1. Enter your mailbox. (See "Entering Your Mailbox")
  2. Press 7 to play the current message.
  3. While listening to the message, select one of the following options:
    • 7 - to play the current message again.
    • 2 - to answer the current message.
    • 4 - to give the message to another user. Enter the mailbox number for the recipient of the message when prompted and record additional comments if desired.
    • 5 - to keep the message.
    • 3 - to discard the message.
  4. After recording your answer or your comments, you may select one of the following:
    • 7 - to review your message.
    • 3 - to discard your message and record again.
    • 2 - to append to your recorded message.
    • 6 - to activate message addressing options. (See "Message Addressing")
    • 9 - to send your message and exit the main menu.
  5. If you have answered a message or given it to another user, press:
    • 5 - to keep the message.
    • 3 - to discard the message.
  6. Remember when playing a message, you may press one of the following options:
    • * - to move backwards 5 seconds.
    • # - to move forwards 5 seconds.
    • 1 - to pause 30 seconds; press any other key to resume.
    • 8 - to move to the top of your next message without changing the current message status.
  7. Always remember to press 9 - to exit the system.

MAKING A MESSAGE

  1. Enter your mailbox. (See "Entering Your Mailbox")
  2. To make a message for a single mailbox, follow these steps:
    • Press 6 to make a new message.
    • Enter the mailbox number of the person to whom the message will be sent.
    • Press # to record your message.
  3. To send a message to a distribution list. (See "Creating a Distribution List)
    • Press 6 to make a new message.
    • Enter the two-digit distribution list number in place of the mail box number.
    • Press # to record your message.
  4. To send your message to multiple mailboxes or distribution lists, follow these steps:
    • Press 6 to make a new message.
    • Enter the mailbox number or distribution list number for the first recipient of the message. You will receive a confirmation of your request.
    • Enter the mailbox number or distribution list number for the next recipient. You may continue to add mailbox numbers and/or distribution list numbers after each confirmation.
    • Press # to end your list and record your message.
  5. If you incorrectly enter a mailbox number or distribution list number at any time while recording a message, press * to cancel your entry.
  6. At any time while recording your message, you may select one of the following options:
    • 2 - to append to your message.
    • 3 - to discard your message and record again.
    • 7 - to review your recorded message.
    • 6 - to activate the message addressing options. (See "Message Addressing Options)
    • 1 - to pause for 30 seconds while recording your message. You may press any key to resume recording before 30 seconds.
    • 9 - to send your message and exit to the main menu. Your message will not be sent until you press 9 or hang up.

CREATING A DISTRIBUTION LIST

  1. Enter your mailbox. (See "Entering Your Mailbox")
  2. Press 8 for user options.
  3. Press 5 to create a list.
  4. Enter a list number (01 to 09) you wish to assign to the distribution list.
  5. Press 6 to name the list.
  6. Record a name for the list when prompted.
  7. Press 9 to save the list name.
  8. Press 2 to add each member to the list.
  9. Enter each mailbox number for each person to be added to your list.
  10. Continue to press 2 and a mailbox number for each name to be added to the list.
  11. Press 9 to save your entries and exit to the main menu.

MODIFYING A DISTRIBUTION LIST

  1. Enter your mailbox. (See "Entering Your Mailbox")
  2. Press 8 for user options.
  3. Press 5 to modify a list.
  4. Enter the distribution list number (01 to 09) you wish to change, when prompted.
  5. Press 7 to play all the members on the list.
  6. Press 2 to add a member to the list.
  7. Press 3 to delete a member from the list.
  8. Enter each mailbox number for the first person to be added to or dropped from your list.
  9. Continue to press 2 or 3 to add or drop a person from your list.
  10. Press 9 to save your entries and exit to the main menu.

USING ADVANCED FEATURES

  1. When leaving a message, you may select one of the following options.
    • 2 - to move to the end of the personal greeting and begin to record your message.
    • 1 - to pause for 30 seconds while recording your message.
  2. While playing a message, you may select one of the following options.
    • * - to move backwards 5 seconds.
    • # - to move forwards 5 seconds.
    • 1 - to pause for 30 seconds. Press any key to resume playing the message.
    • 8 - to move to the top of your next message.

ACCESSING USER OPTIONS

  1. Enter your mailbox. (See "Entering Your Mailbox")
  2. Press 8 to access the user options. Make a selection from the following options:
    • 4 - to record a personal greeting for your callers.
    • 6 - to record your name.
    • 7 - to set your passcode.
    • 5 - to create a distribution list.
    • 8 - to access the tutorial.
    • 2 - to modify call schedule options.

MESSAGE ADDRESSING OPTIONS

  1. Enter your mailbox. (See "Entering Your Mailbox")
  2. Press 6 to make a message for someone.
    ---OR---
  3. Press 4 to give a message to someone.
    ---OR---
  4. Press 2 to answer a message.
  5. Press 6 to access message addressing options. You may choose one or more of the following options:
    • 2 - to mark the message as confidential.
    • 7 - to request a receipt.
    • 8 - to mark this message as urgent.
    • 3 - to schedule this message for future delivery.
    • 9 - to send your message.
    • 9 - to exit to the main menu.

OFF-CAMPUS ACCESS

There are four ways to access your mailbox.
  1. Dial 630-942-4444 to access the Voice Message System.
  2. Press * (asterisk).
  3. Dial your 5-digit mail box number.
  4. Press * (asterisk) again.
  5. Dial your personal access code. The Voice Message System will indicate how many messages you have received.
  6. Select one of the following options to respond to your messages.
    • Press 7 - to listen to the first message.
    • Press 3 - to delete the message.
    • Press 5 - to keep the message.
    • Press 9 - to exit the Voice Message System.
