FIRST TIME LOG-IN TO MAILBOX
- Dial 4444 from inside the college
(Dial 630-942-4444 from outside
the college) Hear prompt: “CallPilot.
Mailbox?”
- Enter your 4-digit extension number
- Press the # sign
Hear prompt: “Password?”
- Enter
12 + your default password
(This is the mailbox default password)
Hear prompt: “Your
password has expired. Press 84 to change your password.”
- Dial 84
- Enter your OLD
password
(This is 12 + your mailbox number)
- Press the # sign.
- Enter your NEW password
(Minimum of 6 to Maximum of 10 digits)
- Press the # sign
- Enter your new password again
- Press the # sign
- See “Record your Name” and “Record your
Greeting” to complete the
set-up of your mailbox.
Top TO LOG-IN
- Dial 4444 from inside the college
(Dial 630-942-4444 from outside
the college) Hear prompt: “CallPilot.
Mailbox?”

- Press “MESSAGE” key
- Enter your 4-digit voice mailbox no., followed by
the # sign
(OR just press the # sign if dialing in from your own
phone.)
Hear prompt: “Password?”
- Enter your password
- Press the # key
Top RECORD YOUR NAME
- Dial 82
- Press 9 (Personal verification)
- Press 5 to record
- Say your first & last
name and your extension number. Example:
“John Doe, Ext. 1234”
- Press # sign to stop recording
- If you are not satisfied with your recording, Press 76 to delete
and 5 to record again.
Top RECORD A GREETING
While logged-in to your mailbox…
- Dial 82
- Enter the greeting number to record:
- Press 1 (External
Greeting)
- Press 2 (Internal
Greeting)
- Press
3 (Temporary Greeting)
- Press 5 to start recording
- Press # sign to stop recording
- Press 2 to listen to your greeting
- Press 76 to Delete your greeting
- Press 5 to re-record your greeting
- Press 4 to exit greeting set up
Notes on Greetings:
- If you record only greeting 1, it will play for all callers.
- Greeting 3 is a temporary
greeting to be used when you are out of the office, or on vacation.
- After recording the
temporary greeting, you may choose to press 9 to set an expiration
date for this greeting. Once you set the expiry,
the system will automatically switch back to your external or internal
greetings for you.
Top CHANGING YOUR PASSWORD
While logged-in to your mailbox…
- Dial 84
Hear prompt: “Enter your OLD password.”
- Enter your OLD password, followed by the # sign
(Your OLD password is the one you just used to Log-In to your voice mailbox)
- Enter your NEW password followed by the # sign
(Must be a minimum
of 6 to a maximum of 10 digits)
- Enter your NEW password again
- Press the # sign
Top TO RETRIEVE MESSAGES
When you log into your mailbox:
- Press 2 – Play message
- Press 6 – Go to Next Message (saves msg.)
- Press 4 – Go to Previous Message
- Press # – Pause message playback
- Press 1 – Skip Backward (5 sec.)
- Press 3 – Skip Forward (5 sec.)
- Press 9 – Call Sender (Internal)
- Press 76 – Delete (or undelete)
- Press 71 – Reply to sender
- Press 73 – Forward copy of message
- Press 74 – Reply to all
Top TRANSFER A CALL DIRECTLY TO A VOICE MAILBOX
With a caller on the line:
- Press the TRANSFER key
- Dial 4445 (Express Messaging)
- Dial the mailbox number to transfer call (4-digit for F/T and
5-digit for P/T)
- Press the TRANSFER key
- Hang up immediately
Top CREATING MESSAGES
There are two ways of creating messages for other voicemail users.
Express Messaging (Doesn’t ring phone)
- Dial (630)942-4445 (Express Messaging)
Hear Prompt: “Express Messaging
– to mailbox?”
- Enter a mailbox number (4-digit for F/T and 5-digit
for P/T)
- Press the # sign
- Leave message after tone and hang-up
Compose Message from your Mailbox
Phone doesn’t ring and
a single message can be sent to one or more mailboxes
- Log-In to your own voice mailbox
- Press 75 (to compose)
- Enter first mailbox number to send message
- Press the # sign after each mailbox
- Press the # sign twice after last mailbox number
- Press 5 (to start recording message)
- Press # sign (to stop recording)
- Press 79 (to send)
If “79” is not pressed, msg will not be sent

REPLY TO A MESSAGE
During or after listening to an internal message in your mailbox:
- Press 71 (reply to sender)
- Press 5 (to start recording reply)
- Press # sign (to stop recording)
- Press 79 (to send)
If “79” is not pressed, msg will not be sent
Top FORWARD A MESSAGE TO ANOTHER MAILBOX
Used to send a copy
of a message to one or multiple mailboxes, and to add additional
comments to the message. During or after listening
to a message in your mailbox:
- Press 73 (Forward Message)
- Enter first mailbox number to send message
- Press the # sign after each mailbox
- Press the # sign twice after last mailbox number
- Press 5 (to start recording message)
- Press # sign (to stop recording)
- Press 79 (to send)
If “79” is not pressed, msg will not be sent
Top TO TAG A MESSAGE
After recording a message, BUT BEFORE SENDING IT…
- Press 70 (to tag a message as…)
- URGENT – Press 1
- PRIVATE – Press 4
- ACKNOWLEDGE – Press 5
- TIMED DELIVERY – Press 6
Enter 2-digit Month,
2-digit Date, & time.
Top HELPFUL HINTS
- You may omit typing your mailbox number during login by just pressing
# (only when using your own COD telephone).
- When leaving someone a message, press # to bypass a greeting.
- Full-time employees have a 4-digit mailbox number which is the
same as their telephone extension.
- Part-time employees have a 5-digit mailbox number.
- If you are unsure of what to do, wait for further prompts.
- If you need more help, press the * key for additional help.
- Call pilot uses certain
commands throughout the system. Whether
you are playing messages, recording names or greetings, or composing
a message, these commands remain the same:
- Play = 2
- Record = 5
- End recording = #
- Send = 79
- Delete = 76
