This tip applies to all MS Office programs – Word and PowerPoint.

Have you checked the size of your file before and after you add clip art, a photo, or another type of image to you Word document or your PowerPoint presentation? You’ve probably noticed that quite often the file suddenly becomes quite large. If the picture has been previously compressed, you may not see a difference. Here’s how to compress the images in Word or PowerPoint to reduce the overall file size:

1.   Click the picture you want to compress. The Picture toolbar should appear. If it does not, show it by clicking the menu item View>Toolbars>Picture.

2.   Click the Compress Pictures button on the Picture toolbar.

3.   In the Compress Pictures dialog box…

a.   To compress all pictures in the presentation, click All pictures in the document.

b.   Under the change resolution section, choose Web/Screen or Print, depending on how you plan to use this document or presentation.

c.   To further reduce file size, select the Delete cropped areas of pictures check box.

d.   Click OK. (Note that if you compress pictures or delete the cropped areas, you won't be able to restore your pictures to their original resolution or size).
