Club Fundraising

General Guidelines for Club Fundraising

Student clubs at College of DuPage are allowed to raise funds that may be needed for the group to accomplish its goals and purposes. The members of the club and the Student Activities staff must approve all fund raisers in advance. Some specific activities that are used by many clubs on a regular basis are detailed here.

Because student clubs do not receive Student Activities Fund allocations as organizations do, the clubs receive priority in the use of campus facilities for fund raising. Many organizations have ways of raising additional funds to support their purpose that are a function of their regular operation, such as admissions to events and ad revenue.

As per Board Policy and Administrative Procedure #5810, all revenues must be deposited into the group’s college account. Any expenses should be drawn from the account using the appropriate form (see Club Finances). The requirement that all funds go through the group’s account provides an accepted accounting of the funds and protects the members and advisers should any questions arise.

Personal Gain and Commercialism

Registered clubs and organizations are allowed to use facilities on the college premises with prior approval from the adviser and director of Student Activities. Clubs and organizations should not utilize the college premises to financially benefit any specific persons or companies. The agreed upon percentage of profits from fund raisers belongs to the sponsoring group and no one else.

In addition, registered clubs and organizations should not publicize or further the interest of "outside" commercial entities. Clubs may publicize notice of pending sale(s) with approval of the Student Activities staff. If you have any questions yet unanswered, please feel free to contact the Student Activities staff.

Types of Fund-Raisers

Student clubs have priority in use of space for on-campus fund-raisers. Vendor sales are the most popular form of on-campus fund-raisers.

Clubs are encouraged to include fund-raisers as part of their schedule of activities to ensure the success of the club’s goals. The types of fund-raisers approved will be dependent on the timeline needed, the club’s purposes, the club’s goals, and the specifics of the idea(s) to raise funds.

Clubs interested in raising funds in ways other than vendor sales or bake sales should contact their Student Activities Liaison to discuss options and ideas in order to ensure a successful fundraiser. Student Activities does not provide funds or loans outside of vendor sales. Clubs and organizations must remember to be good stewards of their account. If there is a chance that money will be lost, it may not be allowed to continue.

Some clubs attempt to raise funds through events, which requires additional planning and time.

Club Procedures for Requesting Vendor Sales

• The Vendor Program at College of DuPage has been established so that the student clubs can raise funds. Vendors are invited to come on campus by Student Activities staff and sponsored by student clubs in exchange for a negotiated fee.

• Each term advisers and club officers will be notified via e-mail with the exact date when scheduling will begin. Clubs must contact Student Activities to request vendor dates. Club vendor dates will be scheduled on a first come, first served basis and will only be accepted via e-mail or in person at the Student Activities office (SRC 1800). Be sure to indicate the name of your club.

Clubs will be allowed to scheduled three vendor dates prior to the 10th day classes. If there are any dates available after the 10th day, three additional dates may be scheduled. Vendor dates will be assigned in date order (i.e., the first person to schedule vendor dates will be given the first three dates of the semester, the second person will be given the next three dates, etc.). Clubs receive confirmation via e-mail with the assigned dates.

Once vendor dates have been scheduled for the semester, take advantage of this fund raising opportunity. You may wish to put the dates in your MyCOD calendar and announce them. Encourage your club members to support the vendors and let others know. Many vendors pay a percentage of their sales, and the higher the sales are, the more the clubs benefit!

General Guidelines for Bake Sales

When planning a bake sale, clubs and organizations must first schedule a table in front of the cafeteria (Plaza 1 or Plaza 2 only). Dining Services is informed of upcoming bake sales.

• All foods must be pre-packaged or homemade and individually wrapped. For example, two cookies must be packaged together. You can not have a plate of cookies sitting on the table for people to choose from.

• All foods must be room temperature and should not need to be kept hot or cold.

• If you are going to charge specific prices for items and not just take donations, your advisor will need to request a cash box through the cashier’s office ahead of time by filling out a requisition.
